Board of Directors Minutes

Clallam County Prevention Works! Community Coalition

Board of Directors

May 23, 2002, Linkletter Auditorium, Olympic Medical Center

The meeting was called to order by Jane Shefler.  Those attending were Jane, Angie Graff, Diana Assumpcao, Nancy Martin, Kathleen Dionne, Fionna Hert, Jim Borte, Jody Jacobsen, and Cynthia Martin.

Family Friendly Business

The general meeting honoring Family Friendly Businesses in Clallam County received much good coverage in the newspaper thanks to Jim Borte.  The good job of the Family Friendly Business committee was also credited.  What about the next plaques?  The cost for this first award was $98.  The plaques were $18 each.  All agreed it was important to have these awards.  Nancy wanted to know exactly what the plan is for the funding of the cost for the awards.  How frequently we give these awards was a big issue.  It was suggested that we give awards quarterly.  Don’t want to dilute the importance of this award.  We want to keep our name out in the community but we want it balanced with the needs of the community businesses.  The Family Friendly Business Committee will make a recommendation about how frequently we will make these awards.

Financial Issues and Budget for Coming Year

Jane said the money issue continues to come up.  We have between $1000 and about $1600 in checking right now.  There is a question as to whether presenters were paid for some events.  There is also an issue about the money coming from the Early Learning Foundation.  The group agreed we needed to look at our overall costs and figure out exactly how much we need on a yearly basis.  The fact that we are now paying a webmaster $1200 makes looking ahead more important.  We need to figure out what are costs are per year and how we can meet these costs through a planned budget.  Diana suggested we might want to ask for LGIF funds since it impacts the entire county.  It was suggested that we apply for $3000 to help defray the costs of operating the coalition.  Jane will check with Patty about those funds and if we can or who can apply.  We also have about $3700 in our CD.  The possibility of having fund raising events was discussed with mixed feelings from the group.  This obviously has ramifications for becoming a 501 (c) (3).

June Meeting

After some discussion, we agreed to do the June meeting on Cultural Sensitivity Issues in Clallam County:  The Importance of Prevention.  Glenn Wiggins, mayor, and Tom Riepe, Police Chief, were suggested to discuss and perhaps Frank Walters would be a good person to have as part of this group talking about ways people working with young families can reach out in a culturally sensitive way.  Cynthia will set up the meeting.  Meeting should go no longer than 1½ hours.  We will spend 45 minutes on the panel.  The next meeting is June 4 (2nd Tuesday) at 11:30 at Olympic Medical.

Minority Population and West End

How to reach out to the West End, Native Americans, and Latinos in Clallam County was again brought up.  Cynthia felt we needed to be creative in how we reach this group.  She suggested that at least we should have a report from the West End at our meetings.

Mission Statement of Prevention Works!

Jane brought the need to make the language of the mission of Prevention Works!  understandable.  This was an issue Don brought up at the annual meeting.  We need to relook at the mission statement.  This should be included in the agenda to make it clear.  Jane and Nancy both had difficulties explaining the mission to others.

Summer Plans for Prevention Works!

Plans for the summer included trying to do the following:

  • Planning for the big event is a key activity for the summer.
  • Jane brought up having Charlie and someone else come to one meeting to talk about organizations and coalitions who are 501 (c) (3) and some who are not.
  • Nancy brought up the need for the follow-up of the Don Corson group.  This doesn’t need to go to the whole committee but probably go to the strategic planning committee.
  • Cynthia bought up the need to have the schools come in to talk about what is happening in the schools for children before kindergarten.  It was suggested this might be a good program for September.

Clallam County Community Network

The Network wants to discuss meeting together with Prevention Works!   Diana brought up the overlap between the Network, Prevention Works! and the county.  These groups have overlap in funding and evaluation of programs

Early Learning Foundation

Fiona brought up the need to have closure on the Early Learning Foundation money they contributed to Prevention Works!  That group will work on this at this right away.

Respectfully submitted,
